Job Summary

  • The Manager, Intake is responsible for the daily Intake operations.  Supervises employee production for the precoding insurance and demographics exceptions team and Front End workflows production support team.  Manages work queues, workload, timely receipt of files from facilities and clients, colleagues meeting quota, shifts work assignments based on priorities and absences, and ensures client closing month end deadlines are met

Essential Functions and Tasks

  • Manages Front End Workflow production support, Intake exception and Crosswalk & Insurance Maintenance operations; recruits, selects, orients, trains, coaches, counsels, and disciplines colleagues.  Plans, monitors, appraises, and reviews  colleagues job contributions. Implements cross functional training and succession planning as allowable
  • Tracks, maintains, and monitors  colleagues metrics. Tracks trends to monitor opportunities for enhancements, innovative solutions, and continuous process improvements with the goal of not having to manually touch files or exceptions.
  • Participate in implementations, issue resolution and application programming, as needed for new and existing clients
  • Finds patterns and maps insurance for all new and existing facilities within system
  • Provide feedback on HL7 & flat file demographic data that creates exceptions
  • Reduces daily exceptions in active facilities by reviewing Insurance crosswalk code
  • Participates in development and delivery of  colleague QA training courses and materials
  • Conducts Quality Assurance (QA) on new and existing Crosswalk and exceptions
  • Monitors team email activity to ensure clients/facility contacts get prompt, accurate service.  Interjects where needed and guides colleagues on missed emails or responses that are inappropriate.
  • Responsible to ensure SmartSheets are kept up to date with accurate facility workflow information.
  • Uses SQL to dig into datasets to uncover trends that need correcting in data feeds
  • Closely monitors system (Horizon), specifically the Intake Workflow Queue and Intake Reconciliation pages for gaps in data we need to chase down.
  • Hosts/attends meetings to obtain missing data timely (time sensitive task)
  • Responds to PST alerts in HubSpot
  • Collaborates with fellow colleagues on the Centricity side of the EM/HM Division to find root cause of what Horizon is sending CB that does not yield a clean claim.  Specifically, potential bad crosswalks or incorrect user actions that need to be corrected.  Serves as host for such meetings and create triages for asks for changes and/or rules to be added to ensure data hits Centricity clean.
  • Ensures compliance with Close of Business (COB) rule, Workers’ Compensation (WC) and auto laws as they relate to insurance billing
  • Performs special projects and other duties as assigned

Education and Experience Requirements

  • High School Diploma or GED
  • At least two (2) years of experience handling patient health information and/or medical records preferred
  • At least six (6) months of supervisory/leadership experience preferred

Knowledge, Skills, and Abilities

  • Strong follow up skills using tools such as Outlook, SmartSheets, and Hubspot.
  • Working knowledge of the front-end process for each facility
  • Working knowledge of medical terminology, anatomy and physiology, legal aspects of health information
  • Knowledge of different files: log, demographics, medical records
  • Ability to read, understand, and apply state/federal laws, regulations, and policies
  • Ability to communicate with diverse personalities in a tactful, mature, and professional manner
  • Ability to remain flexible and work within a collaborative and fast paced environment
  • Ability to deliver high quality service excellence with high attention to detail
  • Understand and comply with company policies and procedures
  • Strong oral, written, and interpersonal communication skills
  • Strong time management, organizational, and decision-making skills
  • Strong knowledge of Outlook, Smartsheet, Excel, and database software skills
