Job Summary

  • We are seeking a detail-oriented and experienced Payroll Specialist to join our team. The ideal candidate will be responsible for ensuring timely and accurate processing of payroll for our medical practice clients using ADP and other payroll systems. This role requires a strong understanding of payroll best practices, compliance with federal and state regulations, and excellent communication skills tailored to client service. 

Essential Functions and Tasks

  • Process and review semi-monthly/bi-weekly payrolls for multiple medical practice clients using ADP and other payroll systems. 
  • Process end-to-end payroll, including pre-payroll, payroll run, validation, and post-payroll activities. 
  • Ensure accurate calculation of wages, benefits, taxes, and deductions. 
  • Maintain payroll records and ensure all payroll transactions are accurate and compliant with local, state, and federal regulations. 
  • Respond to payroll-related inquiries and resolve discrepancies promptly. 
  • Serve as the primary point of contact for client inquiries related to payroll, taxes, deductions, and timekeeping. 
  • Collaborate with client leadership to ensure accurate data entry including new hires, terminations, benefits, and compensation changes. 
  • Reconcile payroll reports and prepare journal entries or reports for client accounting teams. 
  • Prepare and file payroll tax reports and respond to tax agency notices on behalf of clients. 
  • Assist clients with year-end processes including W-2 and 1099 preparation and distribution. 
  • Stay current with changes in payroll laws and best practices to ensure compliance and efficient service delivery. 

Education and Experience Requirements

  • High school diploma or equivalent. Associate’s degree or Bachelor’s degree in fields like Accounting, Finance, Business Administration, Human Resources, or a related discipline, preferred. 
  • 2–4 years of payroll processing experience; ADP payroll experience is required. 
  • Background working with healthcare or medical practice clients, preferred. 
  • Experience working with multiple client accounts or in a payroll service provider environment is preferred. 
  • FPC or CPP certification is a plus but not required. 

Knowledge, Skills, and Abilities

  • Strong knowledge of federal and multi-state payroll regulations and tax compliance. 
  • High level of accuracy, attention to detail, and ability to meet strict deadlines. 
  • Proficiency in Microsoft Excel and general familiarity with HRIS systems. 
  • Excellent organizational and client-facing communication skills. 
  • Ability to communicate with diverse personalities in a tactful, mature, and professional manner. 
  • Strong problem-solving skills and ability to work independently. 
  • Commitment to confidentiality and data security.
