Job Summary

  • The Intake Production Support Specialist primary responsibility is to ensure all expected data files are received each day. For files and/or data missing, the role collaborates with facility contacts to obtain missing date of service log files, demographic/insurance files, and medical records files after first thoroughly scouring Ventra systems to be sure the data was not received.

Essential Functions and Tasks

  • Embrace technology: is not intimated by working in multiple systems each day. Able to manage multiple different passwords successfully to avoid denial of required system access to perform job duties.
  • Technology driven: reviews HL7 interfaces and other systems for issues that require resolution and takes appropriate action. Opens tickets with proper authority to get missing data in the system.
  • Team oriented: collaborates with others, sharing information garnered through daily tasks constantly.
  • Able to think independently: willing to follow SOP to achieve tasks and make personal notes so that performing the same task tomorrow can be done independently.
  • Accountability: is willing to be held accountable personally for required tasks and adjust approach where this mark is missed the first time.
  • Detail oriented: is capable of reviewing data locations where filenames may be very similar to verify it was not received before going to external contacts to request it.
  • Ensure that logs, charts, and demographics are processed as expected. Reports system issues to technology team for review.
  • Excellent communication: works with multiple front-end departments for any interface or automation related issues. Communicates with Ventra client success contacts and other managers on any delays with files or processing of files.
  • Strong Microsoft Excel skills: ability to sort, organize, update, add to, and delete from large spreadsheets. Able to pull txt files into excel to review data.
  • Clear oral and written skills: is adept at sending and following up on emails, ensuring none are missed/forgotten and resolution of reported issues is achieved. Is able to set up and lead meetings/calls to discuss the missing data needed to resolution.
  • Performs special projects and other duties as assigned.

Knowledge, Skills, and Abilities

  • Working knowledge of medical terminology, anatomy and physiology, legal aspects of health information
  • Ability to read, understand, and apply state/federal laws, regulations, and policies.
  • Ability to communicate with diverse personalities in a tactful, mature, and professional manner.
  • Ability to remain flexible and work within a collaborative and fast paced environment.
  • Basic use of computer, telephone, internet, copier, fax, and scanner.
  • Basic touch 10 key skills.
  • Basic Math skills.
  • Understand and comply with company policies and procedures.
  • Strong oral, written, and interpersonal communication skills.
  • Strong time management and organizational skills.
  • Strong knowledge of Outlook, Word, Excel (pivot tables), and database software skills.

Compensation

  • Base Compensation will be based on various factors unique to each candidate including geographic location, skill set, experience, qualifications, and other job-related reasons. 
  • This position is also eligible for a discretionary incentive bonus in accordance with company policies.
